What this notice covers

HoopLedger provides software that basketball programs use to manage teams, registrations, communication, forms, attendance, player development and payments. The basketball program using HoopLedger controls the program records it collects. HoopLedger processes those records to provide and secure the service.

Information we process

Depending on how a program uses HoopLedger, records may include account and contact information, player and guardian details, date of birth, school and grade, team activity, attendance, availability, statistics, forms and acknowledgements, limited emergency information, uploaded documents, payment status, messages, device and security logs.

Payment card details are entered on Stripe-hosted pages and are not stored by HoopLedger. We receive transaction identifiers, status and amount.

Youth and family information

Programs must obtain appropriate parent or guardian authorization before collecting information about a minor. Public registration asks the submitting adult to confirm that authority. Programs should collect only what they need, limit access by role, and remove records when they are no longer required.

HoopLedger is not directed to children for independent use. A child under 13 should not create an account or submit personal information without a parent, guardian or authorized program acting in accordance with applicable law.

How information is used

• Provide, maintain and secure the service.
• Process registrations, forms, team operations and payments.
• Support users and diagnose service problems.
• Prevent fraud, abuse and unauthorized access.
• Meet legal obligations and enforce agreements.

Sharing

Information is shared with authorized members of the relevant basketball program and with service providers needed to operate HoopLedger, such as hosting, database, email and payment providers. We do not sell personal information or use youth records for targeted advertising.

Security and retention

HoopLedger uses role-based access, organization separation, encrypted connections and managed infrastructure. No system is perfectly secure. Programs are responsible for appropriate user access and device security. Records are kept while the program account is active and as reasonably needed for operations, disputes, legal obligations and backups, then deleted or de-identified according to the applicable retention process.

Your choices and requests

Contact your basketball program first to access, correct or delete program records. Account owners may request an export or deletion review by emailing privacy@hoopsledger.com. We may verify identity and program authority before completing a request.

Changes

We may update this notice as HoopLedger changes. Material changes will be communicated in the service or by another appropriate method.
